Do You Make These Mistakes On The Phone? by Bob Bly

Recently, I came into the office in the morning and found a voice mail.

It was from a freelance copywriter asking me to call her.

Now, this is no surprise: I regularly get calls from novice copywriters asking for advice about the freelance copywriting business.

When I called her back, around 8am EST (I normally get to work at 7am), she answered the phone in a hoarse, dazed voice…and I knew I had woken her up.

I immediately felt guilty…but I should not have.

After all, why is it MY responsibility to know or think about whether she works at home?

And what difference should that make to clients, prospects, or anyone else who calls her?

Sure enough, she told me, a bit grumpily, “It is 5am where I am.”

And I felt vaguely scolded…as if I was supposed to figure out her location and time zone from the area code in the phone number she had left on my voice mail!

A major component of your small business marketing is the professional impression and image you convey…and that requires home-based businesses to have two separate phone lines: one for home, and one for business.

The rules are simple…

* Always answer the business phone promptly, clearly, and professionally. Pick it up on the second ring. The first seems too needy, and by the fourth, the prospect is getting annoyed by the long wait.

* Identity yourself and your company in your greeting, e.g. “Flowers by Fiona, this is Fiona speaking.”

* The business phone should ONLY be answered by people from the business—never children, parents, or the cleaning lady.

* When the business phone rings after hours and you do not feel like talking to business callers, don’t answer it. Let the voice mail pick it up.

* Keep the business phone in a private office or other area shielded from the sounds of home life. Business callers should not hear kids fighting or babies crying in the background.

* Do not require the caller to think about your situation, e.g. that they are calling late or reaching you at home.

That’s not their concern or responsibility…and having to worry about that is a turn-off for your clients and prospects.

For instance, I once called AC, a freelance PR consultant at 5pm; I suspected he worked at home, but did not know that for certain.

When he answered, he sounded annoyed and didn’t hide it well; clearly, I had done something wrong.

“Is there something wrong?” I asked.

“I am eating dinner,” he replied testily.

Apparently, he required me to be a mind reader or have surveillance cameras in his house.

Or maybe he was living in the 1950s, when most people actually left work at 5pm on the dot!

Another faux pas that can damage the professional image you want to convey…

If someone calls and the person they want to reach is not available, take a message and promise to have that person call back promptly.

Do NOT, as some businesses do, amazingly to me, say, “He’s not here right now. Can you call back later?”

This adds another task to the prospect’s to-do list for the day. And your job is to make the prospect’s life easier, not add more work to it.

Finally, here’s the “technology” set up I recommend for home-based business phone systems:

* Separate phone lines for home and business.

* Another separate, dedicated phone line for the fax machine. It’s annoying and amateurish to tell prospects, “Let me hang up on you. I will unplug the phone, plug in the fax, and then you can call back and fax your document.” It is disrespectful because it wastes the prospect’s time.

* And yes, yet another dedicated phone line for the modem if you have a dial-up connection to the Internet. However, I’d recommend high-speed broadband access, which is faster and does not require its own phone line.

The point: even if you work at home, you are in business and you are a business professional.

Therefore, you have to convey a professional image that says you are serious about business, not a dilettante playing around between jobs.

It’s time for me to talk about social media and some ‘rules’ to make this work profitably.

Social media is powerful because it has a “different” kind of traffic—your visitors can get engaged with you on your site and be interactive.

They’ll want to express their viewpoints and “talk” with you which, make this traffic source more “closer”.

So here are my 7 Rules of Social Media Success:

Rule #1: Make your site and your site’s content easily accessible. Finding you is one thing, but what will they find when they get there? Can your audience easily link to it? How can they be notified of updates to your site? How easy is it to broadcast or syndicate? How easily can they reach your site over and over again?

Rule #2: Include buttons and links on your page that will make tagging and bookmarking easy to do. Adding bookmarklets to your site makes it easy for your audience to have a say or express the value of your site. It makes it easy for them to promote and comment as well. You’ve seen those Facebook “like” buttons lately? Even Clickbank uses it a lot now.

Rule #3: Reciprocate any incoming links. Use features like trackbacks (for WordPress blogging) or retweet in Twitter and so on. It’s an added incentive to make others wanting to link to you again and often.

Rule #4: Make your content portable (even off the web) using MP3s, PDFs, etc. Make it easy to link to or easy to add on their site. One of the best examples of sites that do this is YouTube. They provide a URL as well as an embed code that makes vlogs portable. With the trend of mobile marketing now, making content available through formats such as PDFs and MP3s definitely improves your content consumption.

Rule #5: Allow others to take your idea and make it their own. We’re not talking about plagiarism, but about collaboration. Some of the greatest ideas can come as a result of someone taking your idea to the next level. At the very least, your audience will appreciate your ideas and give you some acknowledgment. REMEMBER—community is all about sharing.

Rule #6: Always act as a resource for your audience even when there’s no apparent benefit. The more helpful you are, the greater your efforts will be appreciated and these benefits will materialize over the long term.

Rule #7: Be free with giving recognition and praise to your audience for providing insightful and useful comments on your site. People love to be noticed for their contributions. Make them feel good about you by making them feel good about themselves.

These rules provide the foundation for your search media optimization strategy. I think if you start incorporating these rules as a part of your site’s plan, you’ll see immediate benefits and ultimately, make you more money.

For me, you’ll see more of social media work down the road. It’s TIME.

Top sales pros confirm that it often takes 7 or more communications or sales messages before prospective customers make a purchase. They also confirm that it’s generally easier to sell to a referral, because someone they know gave positive testimonial about their products or services.

What would happen if you combined both of these powerful ideas? A nifty and thrifty two-step. Try this two-step tip:

1. Collect leads with your autoresponder. Ask for mailing addresses and telephone numbers, too, for additional ways to follow up with each person. When you download the e-mail digest of everyone’s e-mail addresses and other information from those who requested additional information from your auto responder, follow up multiple ways. Send postcards. Call. Mail salesletters and other promotional pieces.

2. Publish a price list of all the products and services that you offer in an insert, direct marketing package and/or PDF to be made available via autoresponder. You could also include order forms, product descriptions, and other sales material. Then send to the people in #1 above with monthly updates, announcements of new sales and products/services, and a request for referrals.

Stuck in an autoresponder rut with only your e-zine going out regularly? Get out of the rut with some of these ideas for improvements.

1. Provide back issues of your e-zine archives via your autoresponder instead of hosting all your archives online. This will give your subscribers and website visitors easy access to them and offers a chance to include graphics, audio and video and other components all rolled up in PDF files for quick, easy download.

2. Help with tech issues and publish your entire website, save it in a PDF file, and load it into an autoresponder. Sometimes visitors don’t have enough time to read your entire site or they lose their Internet connection or time online. So this way, they could print it out and read it offline.

3. You could offer your e-book via an autoresponder. Regular e-zine content is often sporadic and is never complete by itself. This e-book should reveal a set of fundamental information to get your subscribers into an active mode of action.

4. For a handy and nice legal touch, you could include the terms and conditions to purchase transactions and load them into an auto responder that is triggered with each purchase. This could include return policies, purchases, refunds etc.

The 3 Elements Of A Winning USP by Bob Bly

In my last article, I showed you how to create for your business a Unique Selling Proposition (USP)…a reason why customers should buy from YOU instead of from your competitors.

Examples of classic USPs include:

* “It melts in your mouth, not in your hands.” (M&M)

* “Good to the last drop.” (Maxwell House)

* “You deserve a break today.” (McDonald’s)

But how do you know whether your USP is any good…and whether it will stand up in the marketplace?

In his 1960 book “Reality in Advertising”, Rosser Reeves introduced the notion of a USP…and he said that, to be successful, a USP must satisfy 3 criteria.

To quote Reeves directly:

1. Each advertisement must make a proposition to the consumer. Each advertisement must say to the reader: “Buy this product, and you will get this specific benefit.”

2. The proposition must be one that the competition either cannot, or does not, offer. It must be unique—either a uniqueness of brand or a claim not otherwise made in that particular field.

3. The proposition must be so strong that it can move the mass millions, i.e. pull over new customers to your product.

Never mind that many USPs today seem to violate these 3 guidelines. There are exceptions to all rules, of course. And you could get lucky by just “winging it”.

But why take the risk? Your greatest odds of success come from adhering to Reeves’s guidelines and making sure your USP is as strong as it can be.

See whether your USP meets all 3 guidelines:

1) “Each advertisement must make a proposition to the consumer. Each advertisement must say to the reader: ‘Buy this product, and you will get this specific benefit.’”

Strong USPs have a benefit, either direct or implied. Weak ones don’t.

State Farm’s “Like a good neighbor, State Farm is there” has a benefit: if you have a problem and are insured by State Farm, they will review and pay your claim promptly, giving you the money you need sooner.

Nike’s “Just do it” has no benefit. Therefore, it fails the test.

2) “The proposition must be one that the competition either cannot, or does not, offer. It must be unique—either a uniqueness of brand or a claim not otherwise made in that particular field.”

Here’s where the “unique” in “unique selling proposition” comes in.

To differentiate yourself from the competition, it’s not enough just to offer a benefit; you have to offer something that your competition either cannot or does not.

As the first chocolate to feature a hard shell coating, M&M achieved their unique positioning with “melts in your mouth, not in your hand”—something only they could claim.

Yes, other hard-coated candies followed. But by then, M&M already “owned” the position. What would these candies say? “We ALSO melt in your mouth, not in your hand”?

Note that Reeves says the claim does not have to be a unique feature your competition cannot offer…

It can also be something your competition DOES not offer…”a claim not otherwise made” in that field.

The classic example is the story in Claude Hopkins Scientific Advertising of the ad campaign for a beer.

The ad agency copywriter noticed that the bottles were washed in live steam, and commented to the brewery master, who replied, “That’s nothing; everyone does that.”

“But the beer-drinking public does not know that!” countered the copywriter, who went on to write a successful campaign based on the idea, “Beer so pure, the bottles are washed in live steam!”

3) “The proposition must be so strong that it can move the mass millions, i.e. pull over new customers to your product.”

A common mistake in promoting technology is to build some minor, insignificant difference into the product, and then tell the prospect that only you have it.

Since the difference is in fact minor and insignificant, the market’s reaction is likely to be: “Yes, you have it. But who cares?”

Make sure the difference you are promoting…the “unique” in unique selling proposition…delivers a benefit or performance difference that the reader really cares about—one that creates a significant advantage over other products in the category.

For instance, a copywriter touring a piano factory noticed that a metal bar was installed in each piano.

The factory foreman explained, “Wood warps over time. The bar stabilizes the piano to prevent warping. That way, this piano will sound the same 20 years from now the same as it does the day it is first played.”

That unique feature, the stabilizer bar, coupled with a powerful benefit—preservation of sound quality—became the basis for a successful ad campaign.
